Keystone

For small service businesses

Keep bookings, jobs and customer details in one place.

When calendars and spreadsheets stop keeping up, Keystone gives your team a clear view of what is booked, who is doing it and what needs to happen next.

When the patchwork stops working

Your calendar only tells part of the story

A calendar can show when something is happening. It cannot always tell the team what the customer needs, which quote was agreed, who has the right skills, or what must happen after the appointment.

Details live in too many places

Booking notes, customer messages, quotes and job details end up split between a diary, a spreadsheet and whoever last spoke to the customer.

The team has to keep asking

When one person holds the full picture, every change or question interrupts the work already under way.

Growth adds more moving parts

Another worker creates more capacity, but also more schedules, skills, equipment and customer expectations to coordinate.

One working view

Know what's happening and what needs to happen next

Keystone brings the working day and the information around it together, so the team can spend less time reconstructing the story behind each booking.

Bookings with context

Keep the service, customer, time, status and relevant job details close to the booking.

A shared view of the work

Give the team a clearer schedule and job list instead of relying on one person's diary or memory.

A clearer next action

Move from a booking into the job, quote, customer record and activity without starting the admin again.

A connected workflow

From customer booking to completed job

Let customers request suitable services while keeping control of the people, equipment and time needed to deliver the work.

  1. Offer the right servicesCustomers start with the work they need and use your separate Keystone booking page to request a suitable time.
  2. Plan against real capacityAvailability can consider opening hours, staff working hours, skills, equipment and existing bookings.
  3. Keep the work connectedMove from the booking to its customer, job, quote and activity while keeping the operational context together.

Ready for a growing team

Built for the team you have and the one you're growing

Adding a family member or another employee should create more capacity, not more uncertainty about who is doing what.

Share the working day

Give the people doing the work a common view of the schedule, jobs and changes that matter to them.

Match work to what it needs

Different services can call for different people, skills and equipment, not simply the next empty hour.

Keep the owner in control

Roles, permissions and activity history help the business share responsibility without losing oversight.

Flexible by design

For garages, trades and service teams

Keystone is for small businesses that organise services, appointments and jobs for customers. Configure the work around the business instead of forcing the business into an industry template.

Garages and workshops

Organise MOTs, servicing, diagnostics and other repeatable work around the people and equipment available.

Mobile and field trades

Keep customer addresses, requests, quotes and scheduled work connected when the job happens away from base.

Growing service teams

Give owners, family members and employees one place to see the work without turning every update into a phone call.

Need a better website too?

A clear, trustworthy website can help customers understand your services and find the right place to book.

Eligible businesses can receive a £150 website-build credit and basic hosting for the first 12 months after launch. Annual Keystone customers qualify immediately; monthly customers qualify after six paid months or by switching to annual. The offer is limited to the first five accepted projects.

Your website would link customers to your separate Keystone booking page. This is an optional website service, separately scoped and subject to eligibility and availability. Ongoing website maintenance is also available separately at standard Crayons & Code rates.
